Proven Listing Systems ("we," "us," "our") provides AI-assisted listing-marketing software for real estate professionals at provenlistingsystems.com (the "Service"). This policy explains what we collect, how we use it, who we share it with, and the choices you have. We aim to collect only what we need to run the Service.

1. Information We Collect

• Account information — your name, email, and a password. Passwords are created and stored by our authentication provider in hashed form; we never see or store your raw password.
• Listing content you provide — property details, descriptions, selling points, photos, and brand assets (logo, headshot, contact info) you upload to generate marketing kits.
• Payment information — handled entirely by our third-party payment processor. We do not see, receive, or store your full card number — only your subscription status and plan.
• Usage information — kits generated, logins, and basic product analytics (and, if enabled, aggregate third-party analytics) to improve the Service.
• Business contact data — for B2B outreach we may process publicly available professional licensee information (e.g., name, brokerage, business email) of real estate agents. This is business-directory information, used only for relevant professional outreach, and every message includes a one-click opt-out.

2. How We Use Information

• To provide, operate, and secure the Service and generate your marketing assets.
• To process subscriptions and payments (via our payment processor).
• To communicate with you about your account, support, and relevant product updates.
• To improve our product and understand how it's used.
• To send professional outreach where permitted by law, always with an opt-out.

3. AI Processing

To generate your marketing copy, the listing content you submit is processed using third-party AI services. Your content is used to produce your output and is not used to train AI models. AI output can contain errors — you are responsible for reviewing every asset before publishing it.

4. Service Providers

We do not sell your personal information. We share data only as needed with vetted third-party providers who help us operate the Service, including categories such as: authentication and database hosting, payment processing, AI content generation, website and application hosting, email delivery, and usage analytics. These providers are bound by contract to protect your data and to use it only to provide their services to us.

5. Cookies

We use essential cookies and local storage to keep you signed in and operate the app. If analytics are enabled, those providers may set their own cookies to measure usage. You can control cookies through your browser settings.

6. Data Retention

We keep account and listing data for as long as your account is active or as needed to provide the Service. You can ask us to delete your account and associated data at any time. Some records may be retained where required by law (e.g., payment/tax records held by our payment processor).

7. Your Rights

Depending on where you live (including under GDPR and the CCPA), you may have the right to access, correct, export, or delete your personal information, and to opt out of marketing. To exercise any of these, email privacy@provenlistingsystems.com. Every marketing email also includes a one-click unsubscribe that we honor immediately and permanently.

8. Data Security

• All traffic is encrypted in transit over HTTPS, with HSTS enforced.
• API keys and secrets are stored server-side only and are never exposed in the browser.
• Database access uses row-level security so users can only reach their own records.
• We follow least-privilege practices for third-party integration keys.

No method of transmission or storage is 100% secure, but we work to protect your information using industry-standard measures.

9. Property and Media Files

You are responsible for ensuring you have the right to provide property photos, videos, listing notes, and brand assets for marketing production, and that published assets comply with MLS, fair-housing, and brokerage rules.

10. Children

The Service is intended for real estate professionals and is not directed to anyone under 18. We do not knowingly collect information from children.

11. Changes to This Policy

We may update this policy from time to time. We will revise the "Last updated" date above and, for material changes, provide additional notice where appropriate.
